Project Administrator

A project administrator is key to quality at Toward Zero. Reporting to the project manager, the project administrator oversees the project from start to end insuring the goals and deadlines of the project are adhered to, and to ensure that the project budget is planned and kept within the financial resources available. The project administrator organizes meetings with the project team, which includes resources from our clients’ organization, as well as Toward Zero team members. These meetings always include important people from our clients’ companies and require sensitivity to busy schedules and varying priorities. A project administrator will also coordinate venues for events and book travel arrangements. During project meetings, the project administrator also takes care of the agenda and notes on topics discussed.
The project manager assigns a business project to the project administrator. Project details are prepared, reported, and analyzed all throughout a project’s duration. Being experienced in financial budgeting and reporting is advantageous for a project administrator. Having performed a role in executive administration can also give the candidate a better chance for consideration. All our projects are executed using our specific methodology, or the methods determined by the client. Many times, our project administrators will be working on multiple projects simultaneously but each milestone must be achieved on time and on budget.

Event Supervision:

A Toward Zero project administrator will be working side by side with clients, so frequent interaction occurs making our Project administrator a great business developer, especially during event supervision. Making certain events kick off on time, getting everyone checked in on time and seeing that everyone finds the place they should be is important. A candidate who can multi-task and communicate with a lot of people effectively is favored. When a project involves an event, the catering reservation, coordination with the people involved, taking care of logistics, organizing the venue and materials are all a part of the responsibility.

Project Performance:

Our project execution methods are critical to quality. In addition, there are often regulations (government and corporate) that must be met. Continuous and frequent audits of these methods and regulatory compliance must be performed throughout the project cycle. The project administrator is responsible for communicating issues to the project manager as they rise.

Project Management:

Since multiple projects can be taken care of simultaneously, the project administrator must be capable of handling multiple projects in varying stages of execution. Regardless of the duration per project, the deadlines must be observed to the satisfaction of the client and the published schedule.

More Skills:

Certainly, above average oral and written communication skills are important for dealing with the project members and the client. Experience with Microsoft Office, MS Project, and SharePoint will be essential and frequent exposure to computer, internet and manufacturing technologies will be required. Being proactive as a project administrator is a must. Punctuality, professionalism, attention to detail and personal organization are also quite critical to success. The candidate should be comfortable speaking with customers in person, on the phone, and in email correspondence.
